LBN Coordinator Meeting Recap

In May of 2023, Learning Buddies Network held its end-of-term coordinator meeting. Coordinators from both the reading and math programs gathered for a hybrid in-person and virtual meeting, discussing the term's ups and downs and setting goals for an even more successful future. It was a valuable and insightful experience not only for coordinators, such as myself, but for the staff team as well! Here are just a few highlights from the 3-hour-long discussion!

As coordinators, we work with buddies and mentors directly which, though successful, does come with a few hiccups. Coordinators used Mentimeter to submit their comments and suggestions, with constructive feedback including a decrease in engagement from mentors and a general lack of mentors overall. It was an excellent time for coordinators to reflect on their experience this term, see the perspective of other coordinators, and allow staff to gain insight into how the program is running. However, there were even more positive remarks from coordinators – many praised the community-like bond in pods, the well-organized training, and the clear communication from staff via weekly emails.

To address these comments and concerns, staff and coordinators split into groups and discussed how they should expand upon the aforementioned remarks. Groups suggested recruiting more mentors whose values align with LBN’s and who show a willingness to learn and adapt in order to fix the lack of motivation. Coordinators recommended a more in-depth screening process that will allow them to gain a thorough understanding of the mentor’s motives and personality. As well, groups focused on how to improve the on-call mentor system, such as having a designated on-call for each mentor, creating a community among the on-calls, or improving engagement levels from them. 

As a program coordinator, this meeting not only allowed me to learn from how other pods were running, but it also provided a time to reflect on my role in the program and share my experiences with others. I particularly enjoyed the sense of community among coordinators and staff alike. Despite watching the meeting through a screen, I felt immersed in the conversation; it was truly a safe environment where everyone could be honest about their experience. Although buddies are typically on the receiving end of learning, I realized that it always goes both ways!
